ALTS Terms & Conditions

1. Admission Policy

1.1 Eligibility: Only delegates (Exhibitors representing Hotels, DMCs, Destinations, Cruise Lines, Airlines, etc.) accepted by Luxury Travel Show s.r.o., hereinafter referred to as the Organisers, will be permitted to attend and have entrance to the workshop, Access Luxury Travel Show (ALTS).

1.2 Invitation-Only: Under the conditions of a by-invitation-only event, the Organisers reserve the right to refuse entry to anyone not wearing an ALTS badge.

1.3 Badge Requirement: Each registered and selected participant will be given a badge with their name and company name on it. This badge must remain in place until they are no longer required to enter either the workshop, Access Luxury Travel Show, or any related events – such as the official lunches, networking activities, or evening events.

2. Subject

2.1 Provision of Services: The Organisers undertake to provide the accepted exhibitor with an exhibitor’s place at ALTS with the benefits in accordance with the purchased package.

2.2 Exhibitor’s Commitment: The Exhibitor undertakes to provide payment for the services rendered by the Organisers in accordance with the Payment Policy outlined in these Terms & Conditions.

3. Rights and Obligations

3.1 Exhibitor Obligations:

  • Agree with the Organisers on the deadlines for the provision of working materials and a schedule of working consultations with the Exhibitor’s staff.
  • Appoint a permanent representative to interact with the Organisers.
  • Provide the Organisers with the necessary information to deliver the contractual services.
  • Accept and provide due payment for properly rendered services in accordance with the Payment Policy.

3.2 Organiser Rights:

  • Reserve the right to make changes to the event format and content. The Exhibitor’s attendance will remain unchanged, and the Exhibitor is committed to attending the workshop and all activities.
  • Postpone the event for reasons beyond control and inform the Exhibitor as early as possible.
  • Cancel the event due to force majeure circumstances, without penalties to the Organisers. Force majeure includes but is not limited to natural disasters, acts of God, war, terrorism, government regulations, strikes, lockouts, or any events beyond the reasonable control of the parties which lead to the cancellation of the event.

4. Fees

4.1 Participation Fees: The Exhibitor will be informed about the participation fees upon registration. Any changes or additions regarding the Exhibitor’s participation must be made and agreed upon in writing with the Organisers.

5. Payment Policy

5.1 Registration and Invoicing:

  • Once the application is accepted by the Organisers, the Exhibitor will receive a registration link to fill in with invoicing details. No place is reserved until the registration is processed by the Exhibitor.
  • Upon sending the invoice to the Exhibitor, the Organisers reserve the place for two weeks for the Exhibitor to process the payment.

5.2 Payment Terms:

  • Payment can be split into several transactions, with the first deposit being not less than 30% of the total amount. This applies to the registrations made not later than 45 days prior to the event.
  • Full payment must be made not later than 30 days prior to the event.
  • If payment is not made, the registration will be automatically cancelled.

5.3 VAT Responsibilities

All exhibiting companies are fully responsible for VAT liabilities as required by the local governing authorities. The Organisers have no responsibility for the relevant VAT process. This is exclusively between the participating Exhibitor and the relevant local authorities.

6. Cancellation Policy

6.1 Cancellation by Exhibitor:

  • Cancellation or reduction of space requirements must be communicated in writing to ALTS not later than 90 days before the event.
  • If notice is received 89 to 60 days before the event, the Exhibitor will be liable for the 30% deposit paid in proportion to the space to cover preliminary costs incurred by ALTS.
  • If notice is received 59 to 30 days before the event, the Exhibitor will be liable for the 50% deposit paid in proportion to the space to cover preliminary costs incurred by ALTS.
  • If notice is received 29 to 0 days prior to the event, the Exhibitor shall remain liable for the 100% payment in full.

6.2 Cancellation by Organisers

The Organisers may cancel the event due to force majeure circumstances, and no penalties shall apply to them. Force majeure includes but is not limited to natural disasters, acts of God, war, terrorism, government regulations, strikes, lockouts, or any other events beyond the reasonable control of the parties which lead to the cancellation of the event.
